Job Overview:
The Personal Secretary will be responsible for providing high-level administrative and secretarial support to senior management, ensuring smooth day-to-day operations. The role requires excellent organizational skills, discretion, and the ability to manage confidential information effectively. The ideal candidate should be proactive, detail-oriented, and capable of handling multiple responsibilities efficiently while maintaining professionalism.
Key Responsibilities:
Administrative Support & Coordination:
- Manage and maintain the executive’s schedule, including meetings, appointments, and travel arrangements.
- Prepare and organize documents, reports, presentations, and correspondence as required.
- Coordinate internal and external communications on behalf of the executive.
- Handle incoming calls, emails, and messages, ensuring prompt and appropriate responses.
- Maintain and update filing systems, records, and databases with high accuracy.
Meeting & Event Management:
- Schedule and arrange meetings, conferences, and business appointments.
- Prepare meeting agendas, minutes, and follow-up action plans.
- Assist in event planning and coordination as required.
- Liaise with clients, vendors, and other stakeholders for seamless event execution.
Travel & Logistics Management:
- Organize and coordinate domestic and international travel, including flights, accommodation, and itinerary planning.
- Ensure all necessary travel documents and visas are in place.
- Provide real-time support during business trips to ensure smooth execution of schedules.
Confidentiality & Compliance:
- Handle confidential and sensitive information with utmost discretion.
- Ensure compliance with company policies and legal requirements in documentation and communication.
- Assist in preparing reports, contracts, and agreements while maintaining data integrity.
Task & Project Management:
- Assist in managing special projects and business initiatives as directed by the executive.
- Track deadlines, priorities, and progress of assigned tasks.
- Provide administrative and operational support for strategic decision-making.
Qualifications & Requirements:
Education:
- Bachelor’s degree in Business Administration, Secretarial Studies, or a related field (preferred).
Experience:
- Minimum 2–3 years of experience as a Personal Secretary or Executive Assistant (mandatory).
Preferred Criteria:
- Candidates with Spouse/Own Visa are preferred.
- Prior experience in a corporate or executive office setting.
