Assistant KHDA Coordinator

Job Overview:

The Assistant KHDA Coordinator will support the school’s compliance, inspection, and regulatory reporting processes in alignment with the Knowledge and Human Development Authority (KHDA) requirements. The ideal candidate should have hands-on experience using the KHDA portal, a good understanding of educational compliance, and strong administrative and communication skills. This role is essential in maintaining the school’s regulatory standing and ensuring accurate and timely documentation.


Key Responsibilities:

Regulatory Coordination & Documentation:

  • Assist in managing and maintaining accurate student and staff data in the KHDA portal.
  • Ensure timely submission of required documents such as student registrations, staff approvals, academic calendars, and facility updates.
  • Coordinate and support the school’s inspection and audit preparation as per KHDA guidelines.
  • Track and update the status of various KHDA-related processes, ensuring timely renewals and compliance.

Data Management & Reporting:

  • Generate and maintain reports related to school performance, student demographics, and staff records from the KHDA portal.
  • Support internal teams with accurate KHDA-related data for planning and decision-making.
  • Ensure error-free entries and updates to the portal, following KHDA protocols strictly.

Communication & Compliance:

  • Serve as a liaison between the school and KHDA officials, ensuring smooth communication.
  • Communicate regulatory updates and compliance requirements to relevant departments.
  • Assist in monitoring KHDA policies and regulations, ensuring school-wide adherence.

Support to Senior KHDA Coordinator & Leadership:

  • Assist the KHDA Coordinator and school leadership in documentation, follow-ups, and inspection logistics.
  • Help maintain school policies, handbooks, and documentation in line with KHDA standards.

Qualifications & Requirements:

Education:

  • Bachelor’s degree in Education, Administration, or a related field (preferred).

Experience:

  • Must be experienced in using the KHDA portal (mandatory).
  • Prior experience in a school administration or regulatory affairs role is preferred.

Visa Status:

  • Candidates with Spouse Visa, Own Visa, or Employment Visa are preferred.

Skills & Attributes:

  • Strong familiarity with the KHDA portal and UAE education compliance framework.
  • Excellent organizational and administrative skills.
  • High attention to detail and ability to handle confidential data accurately.
  • Strong written and verbal communication in English (Arabic proficiency is a plus).
  • Ability to work collaboratively across departments and manage multiple deadlines.
